The Administrative Assistant will be responsible for providing high-level administrative support to the Project Executives and Client Service Manager by best leveraging time, managing calendars and priorities, executing tasks and maintaining support availability.

  • Maintain calendar and/or daily schedules
  • Manage expense reporting
  • Draft letters, emails, reports and other correspondences as required 
  • Coordinate and implement special projects; maintain confidential files
  • Arrange all travel
  • Prepare materials/presentations/reports before business trips and meetings
  • Coordinate meetings both internally and externally
  • Manage and track correspondence (i.e. e-mail, letters, phone calls, faxes, mail); re-route correspondences and resolves issues when appropriate.
  • Assist in preparing agendas, documents
  • Book and manage conference rooms, including coordinating with IT for remote meetings
  • May communicate with outside customers and vendors
  • Perform other related duties as required


  • Proven track record to work cooperatively and effectively with various personalities and levels of management/support staff
  • Detail oriented and ability to prioritize tasks with ease
  • Ability to take initiative in a fast-paced environment
  • Proficient knowledge of Microsoft Suite
  • Ability to handle sensitive and confidential information
  • Strong interpersonal skills and ability to multi-task
  • Strong verbal and written communication skills
  • Ability to work under pressure and meet deadlines
