The Executive Assistant in this role will provide administrative support to four Directors and Executives of the New England’s Healthcare/Life Sciences construction group. *Please note: this position will work in our Boston office 4x per week, with the option to work from home 1x per week.

 

Responsibilities

  • Maintain the calendars and/or daily schedules of the Executives.
  • Draft letters, emails, reports and other correspondence as required; Coordinate and implement special projects; maintain confidential files; attend staff meetings, take and distribute minutes and follow-up on action items.
  • Arrange travel and manage expense reporting.
  • Stay on top of emerging trends and news within the construction world.
  • Coordinate meetings both internally and externally.
  • Track performance appraisals and career planning conversations.
  • Serve on committees as required.
  • Provide back-up to support to other group Executive Assistants as needed.
  • Communicate with managers and staff outside the department and across functions and other business units.
  • Communicate with outside customers and vendors as needed.
  • Perform other related duties as required.

Qualifications

  • 2 to 4 years of EA/administrative experience
  • Working knowledge of Word, PowerPoint and Outlook.
  • Beginner to intermediate Excel skills.
  • Ability to handle sensitive and confidential information.
  • Strong interpersonal skills and ability to multi-task.
  • Ability to take initiative in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Ability to work under pressure and meet deadlines.
  • Proven track record to work cooperatively and effectively with various personalities and levels of management/support staff.
  • Detail oriented and ability to prioritize tasks with ease.
